AUTHORITY EXPRESS FILE NAMES

Names of Files Submitted to Authority Express

In order to provide rapid turn-around of files submitted for AEX processing, you must name the file that you send according to the following instructions.

1. The base filename

The base filename consists of:

a. The library's 5-character account identifier as assigned by LTI followed by:

b. Up to 10 characters to help you identify the file.

The additional characters must be alpha characters, numerals, or the underline ("_") or hyphen ("-") character. No other special characters or spaces are permitted in the base filename.

You may use upper-case and/or lower-case characters in the base filename BUT Authority Express will change them all to upper-case in the output file names.

The base filename MUST be unique. Do not submit the same filename more than once -- Authority Express will not process a file with a duplicate filename.

For example, if your account identifier is "LIBID", then a proper base filename would be LIBID001 or LIBID2000-01-01.

2. The filename extension

When you submit a file for AEX processing, the filename extension must be ".IN".

After AEX processing, a number of files are returned to you.

Each file's name will begin with the same base filename as the file you submitted. The filename extension indicates the content of the file as described below.

MARC Record Files

LIBIDxxx.OUT -- finished file of MARC bib records

The bib records you submitted with all authority control changes inserted.

LIBIDxxx.LCN -- new name-related LC authority records

The LC authority records that linked to the name, title, and series headings and which have not previously been sent to your library.

LIBIDxxx.LCS -- new subject-related LC authority records

The LC authority records that linked to the subject headings and which have not previously been sent to your library.

LIBIDxxx.LCY -- new series-related LC authority records

The LC authority records that linked to the series headings and which have not previously been sent to your library.

NOTE: This separate file of series-related records is created only if you explicitly requested it. Otherwise, the series-related records are included in the ".LCN" file.

LIBIDxxx.LCG -- new form/genre LC authority records

The LC authority records that linked to the form/genre headings and which have not previously been sent to your library.

LIBIDxxx.LCM -- new MeSH authority records

The MeSH authority records that linked to the MeSH headings and which have not previously been sent to your library.

LIBIDxxx.LCR -- new Sears authority records

The Sears authority records that linked to the Sears headings and which have not previously been sent to your library.

LIBIDxxx.LCJ -- new LC Annotated Card (Children's) authority records

The LC authority records for Annotated Card headings (001 field begins with "sj") that linked to the records and which have not previously been sent to your library.

ASCII Text Files

LIBIDxxx.ACF -- authority control statistics report

Lists the headings by tag, detailing the link results obtained.

LIBIDxxx.ULH -- unlinked headings list

A list of all headings in which subfield "a" did not link to an LC or LTI authority record.

LIBIDxxx-nfichg.ACR - Changes to non-filing indicators.

List shows title fields in which non-filing indicators were changed as part of processing. Report is also available to libraries not using LTI's non-filing indicator fix and may be used by local staff to make needed edits to the fields.

If There's a Problem With Your File...

LIBIDxxx.ERR -- error information list

There was a problem with the file you submitted: either the MARC structure contained errors, or the filename repeats a previously processed filename. This ASCII text file reports the nature of the error(s).

LIBIDxxx.BAD -- bad MARC record file

If any of the bib records you submitted contained errors in its MARC structure (see .ERR above), this file will contain the bad records. These records were removed from the file and no further processing was performed. If a .BAD file is generated, all associated files should be removed from the server. The file to be processed should be re-sent with errors fixed or erroneous records removed.

Optional ASCII Text Files:

LIBIDxxx-880chg.ACR - Changes to controlled heading where 880 field is present

List shows controlled headings with $6 that were changed during processing. The report may be used by library staff to make needed edits to the corresponding 880 fields.

LIBIDxxx-880err.ACR - Errors in linkage between controlled heading and 880 fields.

List shows records where the linkage between romanized with $6 and corresponding 880 fields is faulty. The report may be used by library staff to make needed edits to the corresponding 880 fields.
