Report: Changes to Non-Filing Indicators

One of the reports that is generated as part of every batch or continuing authority control job is a listing of title field non-filing indicators that were changed during processing. The report is generated even if the library has opted that its title non-filing indicators not be changed, but the report lists changes that would have been made.

Major causes of incorrectly set non-filing indicators in title fields include: (1) cases where the record's fixed field language code does not match the language in the title field--e.g., El Libro de los cien ..., with the record's fixed field language code set to "eng"; (2) distinguishing correctly between when a leading letter or word [e.g., Lo] is used as an article, and when it is used as another part of speech to be regarded in filing; and, (3) failure to taken into account punctuation and other symbols sometimes found at the beginning of titles-e.g., ,/;/"/(/$/*.

The report name has the structure *-nfichg.acr, where the asterisk represents the filename used to identify the library's output, e.g., LIBIDXXXXX-nfichg.acr. This is followed by the date and time of the report's creation. If the library has requested in its authority configuration profile that LTI not make corrections to its non-filing indicators, the text "set_nonfiling is OFF - - changes were not made" appears as the second line of the report.

The report is presented in a 5-column ASCII text file, each indicator change being allotted a maximum of 80 characters. From left to right, the 1st column shows the text of the possible non-filing word. The 2nd column, containing 6 characters, shows the number of non-filing characters to be ignored as present in the source record, followed by =>, and then by the number of characters to be ignored following LTI's processing. For example, "0 => 2" shows the non-filing indicator in the title field to have been set to 0 in the source record, as opposed to 2 after LTI processing. The 3rd column shows, between braces, the 3-character language code taken from the 008 field. The 4th column is a two-character, internal LTI code identifying the algorithm applied that resulted in the changed indicator value. The 5th and final column gives the tag, trailed by as much of the title, including subfield codes, as can fit in the remaining columns. For example:

[Note that the above represents a typical display after the ASCII text report is loaded into a word processing program. Diacritics and special characters, correct in the MARC-8 character set, will not be represented correctly in the display, e.g. in the above example, â is displayed instead of the acute accent (hex E2) which precedes the "e" in MARC-8.]

For libraries profiled to correct non-filing indicators, the report provides reassurance that its non-filing indicators are being correctly set. It is perhaps even more valuable for libraries that have opted not to have LTI set their non-filing indicators because it lists the changes that should have been made. Library staff may want to make these fixes manually when the catalog records are re-loaded following authorization. While it is possible for a non-filing indicator set properly in a source record be re-set incorrectly by LTI, our analysis shows that for every instance of this happening, roughly 100 incorrect filing indicators will be set properly.

In examining and, if appropriate, altering title field filing indicators, LTI software uses a variety of tables, algorithms, and, in some cases, actual title field text to ensure that as many indicators as possible are set accurately. Analysis can involve evaluating as many as the first four words in the title field.
